Business email means writing from [email protected] instead of a free address. Customers trust it more, it keeps working when staff change, and you control the data. Setting it up takes less than an hour. This guide walks through the steps we see most clients ask about.
Step 1: pick the plan and the domain
Choose a mailbox plan on our e-mail page. Plans differ by the number of accounts and the storage per mailbox. The domain can be registered with us or anywhere else; you only need to point its MX records to the mail server shown on the service page.
Step 2: create the business email mailboxes
Open Dashboard → Email, pick the domain and add accounts such as info@, sales@ and one per employee. Use strong, unique passwords. Create a catch-all or a forwarder for addresses that should land in one inbox, and an auto-reply for shared boxes that are not watched daily.
Step 3: connect your devices
Add the account to Outlook, Apple Mail or your phone with IMAP on port 993 and SMTP on port 465, both with SSL. IMAP keeps every device in sync. Webmail is always available from the browser when you are away from your computer.
Step 4: protect your reputation
- Add the SPF and DKIM records from the service page so receiving servers trust your messages.
- Enable two-factor authentication where offered and never share passwords by chat.
- Keep mailboxes under their storage limit; archive old mail locally.
Migrating from a free provider
Most mail clients can copy folders between accounts by drag and drop. Set an auto-reply on the old address that announces the new one, and update it on your website, invoices and social profiles. Within a few weeks the old inbox goes quiet and your business email runs entirely on your own domain.
